Introduction:

On 02/12/2022, Mr. Thompson from Scrubs Cleaning contacted us to help add their WordPress quote form to the Go High Level (GHL) CRM. His target was to have the custom price calculator section in the form and also to have the leads automatically generated.

Problem Statement:

To address these needs, Mr. Thompson required a system that could automate the calculation of prices and management of leads. The integration should be capable of capturing form responses, computing prices, and feeding the information into GHL to handle opportunities and notifications.

Project Journey and Timeline:

Requirements Gathering and Analysis:

In discussions with Mr. Thompson, the following key requirements were identified:

Custom Price Calculator: A dynamic calculator within the quote form based on user input.
GHL Integration: Automatic creation of contacts and opportunities in GHL upon form submission.
Automation Flows: Separate automation flows depending on whether the contact was created manually or via the WordPress form.
Service Categories: Ability to assign contacts to specific service categories for tailored marketing and follow-up automation.

Design Phase:

We created a quote form that the user would be able to fill out himself while we automated the back-end process. The wireframes and prototypes were discussed with Mr. Thompson in order to understand how they meet his goals and objectives.

Development and Implementation:

Using HTML, CSS, PHP, JavaScript, and MySQL, we developed the following features:

Dynamic Quote Form:

The form included a custom-built price calculator that updated in real-time based on user responses.

GHL API Integration:

We integrated the form with GHL via API, ensuring that submitted queries automatically created contacts and opportunities in the CRM.

Automation Flows:

Two distinct automation flows were established: one for manually created contacts and another for contacts originating from the WordPress form.

Service Categorization:

Automatically sorted contacts into relevant categories, enhancing personalized marketing and automated follow-ups.

Testing:​

Extensive testing was conducted to ensure that the price calculator was accurate as well as the integration and transfer of data to GHL. User acceptance test was done and as per feedback from Mr. Thompson the system was up to his expectation.

Deployment:

The quote form and GHL integration were implemented on 18/12/2022 to improve Scrubs Cleaning’s lead generation and management.

Maintenance and Support:

Since the integration, we have been actively working on it, resolving problems and making adjustments to enhance its performance

Results and Conclusion:

The integration has significantly streamlined Scrubs Cleaning’s lead management process, allowing for real-time price calculations and automated CRM updates. Mr. Thompson expressed high satisfaction with the outcome, which has led to improved efficiency and customer engagement.
